What is a Site?

A site is a way to group users for organization in the portal and limit access to the phone system for Site Managers. A site manager scope can only access parts of the phone system assigned to their Site. This differs from Office Managers, as Office Managers have access to the entire phone system regardless of site. 

Sites can be set to have a specific caller ID, timezone, Emergency caller id, and music on hold. Please refer to Edit a Site to learn how to set these options.


Create a Site

1. Select the Users Tab

2. Locate an extension to be added to the new site. You can use the search function to search: Extension Number, First Name, Last Name, Site, or Department

3. Once located, click either the name of the extension or the pencil icon.

4. If name clicked: The profile tab will be opened by default

If pencil clicked: Select the Profile option from the dropdown

5. Locate the site textbox located under Profile Information

 

6. Enter the new site name. Please do not use special characters or a department name in the site name as this can cause potential issues with the system.

7. Click Save to update the user and create the site. Cancel will disregard the changes. If a voicemail pin is not set, the changes will not be saved until a pin is entered.


Edit a Site

1. Select the Users Tab

2. Switch to the Sites sub-tab

3. Locate the Site to edit and click the site name or the pencil icon

 

4. This will open the Edit <Site Name> popup window

5. Update the necessary settings

Site Name: Cannot be updated. If a new site name is needed, a new site will need to be created.
Timezone: Sets the timezone of the phones and portal for users assigned to this site.

Area Code: The default area code for users assigned to this site. The area code is used if a 7-digit number is dialed.

Caller ID: This is the default caller id for users assigned to this site. Please contact CallHarbor Support to update.

Emergency Caller ID: This is the default emergency caller id which provides an address to dispatch when 911 is called. The e911 address MUST match the physical location of the phone. Please contact CallHarbor Support to update

Emergency Notifications: Notifications are sent when 911 is called if settings entered below
Notify Via Phone Call: dials a specific extension to with an automated call detailing the 911 call. Enter the extension(s) that should receive the call.

Notify Via Phone Message: sends a brief text alert to the phone screens, if supported by the devices. Please contact CallHarbor Support to determine if your devices support the text alert. Enter the extension(s) that should receive the alert.

Notify Via Email: sends an email detailing the 911 call. Enter the email address(es) that should receive the call.

6. Click Save to update the site. Cancel will disregard the changes


Update a User's Site

1. Select the Users Tab

2. Locate an extension to be updated to a new site. You can use the search function to search: Extension Number, First Name, Last Name, Site, or Department

3. Once located, click either the name of the extension or the pencil icon.

4. If name clicked: The profile tab will be opened by default

If pencil clicked: Select the Profile option from the dropdown

5. Locate the site textbox located under Profile Information

 

6. Remove the site by backspacing the text in the text box. Select an already created site from the dropdown or enter a new site name. Please do not use special characters or a department name in the site name as this can cause potential issues with the system.

7. Click Save to update the user's site. Cancel will disregard the changes. If a voicemail pin is not set, the changes will not be saved until a pin is entered.


Delete a Site

Site or Office Managers cannot delete sites. Please contact CallHarbor Support, including:

  • Your Name
  • Your Company Name
  • Your Extension
  • The site(s) that should be deleted
