This article assumes you are logged into the Manager Portal as an Office Manager, or Site Manager.

Add Phone Hardware

Adding new phone hardware to CallHarbor may affect your CallHarbor bill. New phones can be added by contacting CallHarbor Support, including:

  • Your Name
  • Your Company Name
  • If a new phone needs to be ordered:
    • Will the phone be rented or purchased?
    • Should the phone be a desk phone or a cordless phone?
    • Is a power adapter needed?
      • If you are unsure if a power adapter is needed, you can check a phone already added to your system to see if a power adapter is in use.
        • A power adapter would be plugged into the power port.
  • If the phone is already in your possession:
    • Please include a picture of the MAC address.
    • Please specify the model of the phone (ex. Yealink T54W)
    • What extension should be assigned to the phone?
      • Phones can only be assigned to users associated with a user access
        • For example, a Call Queue at extension 400 cannot have a phone assigned
      • If the phone is assigned to an extension already assigned a physical phone, an additional phone user access is required.

The request to add new phones must come from an authorized contact or office manager extension.


Remove Phone Hardware

Removing phone hardware from CallHarbor may affect your CallHarbor bill. Phones can be removed by contacting CallHarbor Support, including:

  • Your Name
  • Your Company Name
  • Reason for subtraction
  • List of equipment to be removed
    • If the equipment is rented, it will need to be returned
  • The date you would like the changes to take place
    • If you are under contract, a 60-day notice is required. For month-to-month, a 30-day notice is required.

The request to add new phones must come from an authorized contact or office manager extension.


Access Phone Hardware

  1. Select the Inventory Tab.
  2. Switch to the Phone Hardware sub-tab.

Filter Phone Hardware

  1. Click Filters, located in the upper left-hand corner
  2. The Phone Hardware Filters popup window is opened
  3. Available Filters:
    1. MAC Address - enter part or all of a MAC address. Phones that contain the entered MAC will be displayed.
    2. Brand - select the brand of phone. The most common brands used are Yealink and Polycom. Phones made by the selected brand will be displayed.
    3. Model - a brand must be selected in order to select a model. Select the model of phone. Phones that are the selected model will be displayed.
    4. Site - displays phones assigned to extensions belonging to the site entered.
    5. Extension - displays phones assigned to the extension entered.
    6. Notes - phones with notes containing the text entered will be displayed.
  4. Click Filter to apply. Cancel will disregard.
  5. Clear filters will empty any entered filters.

Button Designer

Button Designer allows for device customization, template deployment, and assigning phone directories.

Export Phone Hardware

  1. Click the Export button
  2. The file is downloaded to your computer.
  3. The file will include the MAC address, Model, Server, Notes, and Lines assigned for each phone added to Phone Hardware
