For Your Extension
This article assumes you are logged into the Manager Portal as an Advanced User or higher.
If you do not know your login name or password, please click here or contact CallHarbor Support.
If you need assistance with updating your buttons, please contact CallHarbor Support, including:
- Your Name
- Your Extension
- Your Company Name
- List of Buttons that should be on the phone
- Include all extensions, speed dials, call parks, and toggles to be included
1. Select the Phones tab.
If you are a Call Center Supervisor or higher, you may need to switch the view of the portal from the entire phone system to your extension only. To do this, click on your name in the upper right-hand corner, then select My Account.
2. All phones registered to your extension will be listed under Phones.
<ext> is usually your desk phone
<ext>wp will be your web soft phone device
<ext>an or <ext>ip will be your CallHarborUC mobile device
3. Phones with available buttons to change will have a settings gear on the row.
4. Click the settings gear to open the Button Designer and confirm to edit the button configuration by clicking yes.
5. The button designer is opened.
6. Information regarding your phone will be located in the upper left-hand corner:
- The MAC address of the phone
- The model of the phone - Configuration for <MAC address>
- The domain the phone belongs to
- The assigned phone directory
7. Please follow Adding Buttons for instructions on adding the different button types.

8. Once all buttons are set, please follow Saving Buttons to save your changes.
For Another Extension
This article assumes you are logged into the Manager Portal as an Office Manager, or Site Manager.

- Your Name
- Your Extension
- Your Company Name
- Extensions or MAC addresses of the phones to add buttons to
- List of Buttons that should be on the phone
- Include all extensions, speed dials, call parks, and toggles to be included
1. Select the Inventory Tab.
2. Switch to the Phone Hardware sub-tab.
3. Filters can be used to locate the phone if needed. Click Filters in the upper left-hand corner.
4. Once the phone is located, copy the MAC Address.
5. Click Button Designer located to the right-hand corner.
6. This will open the Button Designer Launcher popup window.
6. Paste the MAC address into the 'Enter phone to MAC to search' textbox.
7. Press Start.

9. Once all buttons are set, please follow Saving Buttons to save your changes.
Adding Buttons
Add a Line Appearance
Click the button (1) you want to become a new line. Select line appearance in the feature drop-down menu (2) and enter the extension number in the box underneath (3). Enter a label if desired (4). If no label is set: For Yealink phones, the name of the extension will appear, and for Polycom phones, the extension number will appear.
Add a Shared Line Appearance
Shared Line Appearances require additional setup, please contact CallHarbor Support, including:
- Your Name
- Your Extension
- Your Company Name
- The Extension that should be shared
- MAC Addresses of the phones that should be added to the shared line appearance

Add a BLF
Click on the button (1) you want to become the BLF. Select User BLF in the feature drop-down menu (2) and enter the extension number in the box underneath (3). Enter a label if desired (4). If no label is set, the name of the extension will appear.
Add a Call Park
Click on the button (1) you want to become the park button. Select Call Park in the feature drop-down menu (2) and enter the call park number in the box underneath (3). Enter a label if desired (4). If no label is set, the extension number of the call park will appear.
Add a Speed Dial
Click on the button (1) you want to become the speed dial. Select speed dial in the feature drop-down menu (2) and enter the phone number without formatting in the box underneath. (3) Enter a label for the button if desired (4). If no label is set, the phone number will be displayed.
Add DTMF
Click on the button (1) you want to become the DTMF shortcut. Select DTMF in the feature drop-down menu (2) and enter the mid-call star code, including any *, in the box underneath. (3) Enter a label for the button if desired (4). If no label is set, the DTMF string will be displayed.
Available Mid-Call Star Codes(DTMF strings):
*** – Park call in an available parking lot
*1 - Record a call on-demand
*2 - Stop recording a call on-demand
Add a Queue Toggle
Click on the button (1) you want to become the queue toggle. Select Queue Toggle in the feature drop-down menu (2), no target is required (3) as the system will utilize the line appearance on the phone to determine the user to log in and out. Enter a label if desired (4). If no label is set, Toggle Availability will be displayed.
Add a Time Frame Toggle
Click on the button (1) you want to become the timeframe toggle. Select Timeframe Toggle in the feature drop-down menu (2), set the Target User (4) first if toggling a timeframe that is set on another extension, then enter the timeframe (3). Enter a label if desired (5). If no label is set, the name of the time frame will be displayed.
Saving Buttons
1. Once changes are made, there will be a "There are unsaved changes to this configuration' warning towards the bottom by the Save and Cancel buttons
2. Pressing Save will save the changes, but the changes will not be pushed to the phone. To push the changes to the phone, press the up arrow next to the Save button and select "Save and Resync". The phone will receive the updated configuration and may reboot, depending on the model. If the changes do not appear after a Save and Resync, please manually reboot the phone. 3. If you select Save as New Template, the changes will not be applied to the phone that was originally edited. The Template will open and will need to be saved. The phone that was being edited before the template creation will need to have the template applied or the buttons manually updated.
