User Voicemail Settings

This article assumes that you are already signed into the CallHarbor portal. If you do not have a login to CallHarbor, please reach out to CallHarbor support.

How to change your voicemail settings

  1. Start off by clicking on the Messages menu in the main menu of the My Account page. This will take you to the Messages page.

  2. Next click on the Settings tab on the left side of the page under Messages.

Enable Voicemail

To enable or disable a user's voicemail click / unclick the checkbox next to Enable Voicemail.

Inbox

In the Inbox section of the user voicemail tab next to options, you can enable options to 1). Sort voicemail inbox by lastest first, 2). Announce voicemail received time, 3). Announce incoming caller ID.
Below the options in the Inbox section you can 4). Add user extension(s) for new voicemails to be copied to, 5). Remove an extension for voice mail to be copied to. To clear the top Copy to extension, click in the field and remove the text.

Greetings

In the Greetings section of the user voicemail tab, you can 1). Select a greeting from the drop-down to apply 2). Play the currently selected greeting, 3). Download the currently selected greeting, 4). Manage the greetings, 5). Play the current recorded name, 6). Download the current recorded name, 7). Manage the recorded name.

Manage the Greetings
In the manage greetings popup, you can manage the user's greetings. 1). Play the recording, 2). Download the recording, 3). Edit the recording, 4). Delete the recording, 5). Add a new Greeting, 6). Select how a current greeting is replaced or how a new greeting will be added, 7). Extention of phone you want to record the greeting on, 8). Name of the new or existing greeting, 9). Makes a call to the extension that you entered in the Call me at field marked 7, 10). Done button to close the popup window.

Manage the Recorded Name
In the Manage Recorded Name popup, you can 1). Select how a new recorded name will be added, 2). Browse your computer for an audio file to upload. 3). Cancel changes and close the popup window, 4). Upload the new audio file and replaces the current one if there is already one.

Unified Messaging

In the Unified Messaging section of the user voicemail tab, you can 1). Select if and how you receive email notifications for new voicemails, 2). Enable email notifications for when the user's mailbox is full, 3). Enable email notifications for missed calls.

How to change another user's voicemail settings

This section of the article assumes that you are already signed into the CallHarbor portal with office manager privileges. If you do not have a login to CallHarbor or you do not have the correct privileges please reach out to CallHarbor support.

  1. Start off by clicking on the Users menu from within the main menu of your CallHarbor phone system. This will take you to the Users screen where we will be able to manage your Users.
  2. Once you have entered into the Users page you will see a list of all users that are on your phone system. You may click on either the name of the user or the pencil icon and select voicemail from the drop-down on the right-hand side to edit each user's settings.

  3. Once you have opened the user's profile click on the voice mail tab if needed.

Enable Voicemail

Data

In the Data section of the user voicemail tab, you can see 1). The user's data limit, 2). How much of the user's data limit is being used. Also in the Data section 3). You can clear the user's data.

User data includes all voicemail, music on hold and greetings.
