What is a Welcome Email?
A welcome email allows a user to receive their login name and set their password and voicemail pin. The login name and password are used for the Manager Portal, Web Soft Phone, and Mobile App.
If a direct phone number routes to the extension, the phone number will be listed in the email.
Welcome emails can be sent by a Call Center Supervisor, Site Manager, Office Manager, or Callharbor Support.
If contacting Callharbor Support for a welcome email, please include:
- Your Name
- Your Extension
- Your Company Name
- The email address the welcome email should be sent to
Send a Welcome Email:
This article assumes you are logged into the Manager Portal as a Call Center Supervisor, Site Manager, or Office Manager.

Single User
1. Call Center Supervisor: Select the Agents Tab
Office/Site Manager: Select the Users Tab
2. Locate the extension to send the welcome email to. You can use the search function to search: Extension Number, First Name, Last Name, Site, or Department
3. Once located, click either the name of the extension or the pencil icon.
4. If name clicked: The profile tab will be opened by deafult
If pencil clicked: Select the Profile option from the dropdown
5. Scroll down to Change Account Security. An email address needs to be added for the extension.
If an email address is not already added, please enter the email address and then click save.
If a voicemail pin is not currently set, the save will not change without a VM pin. Please enter a VM pin if the portal prompts for one.
6. Next, switch to the Advanced sub-tab
7. Click Send Welcome Email
8. You will be returned to the main users tab and an 'Email successfully sent' message popup will appear at the top
Multiple Users
Multiple Users can be sent welcome emails at once. Each user must have a unique email address. If multiple extensions share the same email address, only 1 link sent will be valid, while all others will be considered expired.
If you need to add or update an email address, please follow steps 1-5 of Single Users
1. Call Center Supervisor: Select the Agents Tab
Office/Site Manager: Select the Users Tab
2. Use the checkboxes to the left of the extensions (highlighted in red) to select the extensions to receive a welcome email. To select All extensions, use the checkbox located at the top (highlighted in yellow)
3. Once extensions are selected, Bulk Action and Bulk Edit appear towards the top
4. Click Bulk Action
5. The Bulk User Actions popup window will open
All of the selected extensions will show in the list on the left
6. Select Send Welcome Email
7. Click Complete Action. Cancel will disregard.
8. You will be brought back to the main users tab with a "# emails sent successfully"
The number should match the number of selected extensions.
