Recording a new Intro Greeting or Menu Prompt

This article assumes that you are already signed into the CallHarbor portal with office manager privileges and have an auto attendant already set up. If you do not have a login to CallHarbor or you do not have the correct privileges please reach out to CallHarbor support. To learn more about auto attendant setup please click here.

First, select the auto attendant that you wish to make a new recording for by either clicking on the name or the edit icon

Next, you will select to manage the audio. If you are recording a new intro prompt, select the manage icon circled in red, and if you are recording a new menu prompt, select the manage icon circled in green.

Recording a New Intro Prompt

The Manage Greetings popup window will appear after the Intro Greetings Manage Audio button is selected. Any previously recorded greetings will be listed in this window. To add a new intro prompt, select Add Greeting at the bottom right corner of the popup window.

To record a new intro prompt greeting select the Record radio button. In the Call me at text box enter the extension number or phone number you wish to use to record the audio. Select the timeframe in which you want this greeting to play. Finally, press the call button and the call will be made to the extension or phone number listed. The call will prompt you to start recording then press # once finished. It does not give you the chance to hear the recording to redo it, so the recording will need to be checked either by the portal or by calling the auto attendant.

Previously recorded audio can also be uploaded to the auto attendant. To do so, select the Upload radio button, then select browse and locate the file. Once the file has been selected, select a timeframe in which you want this greeting to play. Finally, press the blue Upload button and check you have successfully uploaded the audio file.

Recording a New Menu Prompt

The Manage Audio button for the Menu Prompt will display the following popup window. Menu prompts can be recorded 1 of 2 ways as well as uploaded.

Star Code to Record is the first way to record menu prompts. The star code allows you to dial it at any time from a phone on your CallHarbor phone system to record the prompt. This star code is unique to each Auto Attendant and does not change. Dial the star code exactly as it appears in the box including the * and the call will prompt you to start recording then press # once finished. It does not give you the chance to hear the recording to redo it, so the recording will need to be checked either by the portal or by calling the auto attendant.

The second method of recording is to use the Record radio button. To record a new menu prompt select the Record radio button. In the Call me at text box enter the extension number or phone number you wish to use to record the audio. Then, press the call button and the call will be made to the extension or phone number listed. The call will prompt you to start recording then press # once finished. It does not give you the chance to hear the recording to redo it, so the recording will need to be checked either by the portal or by calling the auto attendant.

Previously recorded audio can also be uploaded to the auto attendant. To do so, select the Upload radio button, then select browse and locate the file. Once the file has been selected, give the menu prompt a description. Finally, press the blue Upload button and check you have successfully uploaded the audio file.
