Your Extension

This article assumes you are logged into the Manager Portal.

If you do not know your login name or password, please click here or contact CallHarbor Support.

1. Select the Messages icon.

If you are a Call Center Supervisor or higher, you may need to switch the view of the portal from the entire phone system to your extension only. To do this, click on your name in the upper right-hand corner, then select My Account

2. By default, the Messages tab should open to the voicemail sub-tab

3. There is a dropdown with the options: New, Saved, and Trash. Select the type of voicemails you wish to listen to in the dropdown.

  • New voicemails will be listed under New. Voicemails that have been listened to but were not moved to Saved will also be in New.
  • Saved voicemails will be listed under Saved.
  • Voicemails deleted THAT DAY will be in your trash, as trash is emptied daily.

4. To listen to a voicemail using your computer audio, select the play button to the left of the message and the voicemail will begin playing within the portal.

5. To listen to a voicemail using your desk phone, select the Call to Play button. A call will then be sent to the extension of the voicemail you are checking, once answered the voicemail will begin to play.

6. To forward the voicemail to another extension, select forward then enter the extension it should be forwarded to


7. To save a voicemail to your computer, select the download button. The audio file will then download to your computer and will be located wherever you have your downloads saved.

8. To move the voicemail from New to Saved, select the save button. The voicemail will disappear from the New messages and will appear in the Saved. The save button can also be used to recover a voicemail that is located in the trash folder, but only if it was deleted that day.


9. To delete a voicemail, select the delete button. The voicemail will be moved to the trash folder which is emptied daily. You cannot delete a voicemail already in trash: only listen, forward, or save the message.


Another Extension

This article assumes you are logged into the Manager Portal as a Site Manager, or Office Manager.

1. Select the Users Tab

2. Locate the extension to check the voicemails for. You can use the search function to search: Extension Number, First Name, Last Name, Site, or Department

3. Once located, click the mask icon located next to the pencil icon.

A mask may not be available for a user if they are set to no portal scope or if they are the same scope as you.

4. After clicking the mask, the portal will be updated to the view of the extension selected for masquerading.

5. Select the Messages icon.

6. By default, the Messages tab should open to the voicemail sub-tab
